Where a closer's day actually goes
Ask an escrow officer or a closing attorney what they did yesterday and very little of the answer is title work. It is email. A single residential file touches a buyer, a seller, two agents, a lender, a processor, sometimes an HOA, a surveyor, and a payoff department, and each of them writes to whichever address they found first. The order came in through a referral portal, the contract arrived as an attachment to a personal Gmail, and the HOA statement is in a thread from three weeks ago.
None of that is difficult. All of it is interruptible, and a day of interruptions is how a clear-to-close slips to Monday. The work an assistant should take is not the examination or the judgment call. It is the remembering: what came in, what is still missing, who was asked, and when they were last asked.
A file, from order to close, with Aura on it
Here is what changes when Aura is reading along. The steps are the ones your team already follows. The difference is that nobody has to hold them in their head.
- Order opens: Aura notices the new order or referral email, tells you it arrived, and drafts the request for the contract and earnest money from the right address.
- Documents trickle in: when the contract, the payoff request, or the commitment lands in any connected inbox, Aura tells you it arrived and what you are still waiting on.
- Scheduling the signing: Aura proposes times that work on your calendar, drafts the confirmation to the parties, and puts the closing on the calendar once you approve.
- Conditions and payoffs: Aura keeps a follow-up on each open item and nudges you when one has gone quiet, with a drafted chase you can send with one word.
- The day before: your morning brief lists tomorrow's closings and what each one is still missing, so surprises show up at 8am and not at the table.
- After close: recording confirmations, final settlement statements, and the thank-you to the agent are drafted and waiting for you.
Approval first, because wire fraud is real
Title and escrow offices are a well-known target for business email compromise. The FBI's Internet Crime Complaint Center put business email compromise losses at about $3 billion in its 2025 report, and real estate closings are a common target. Any tool that sends email on your behalf has to be built with that in mind. Aura does not send, schedule, or share on its own. Every outbound message is a draft until you say yes, and the yes is recorded in an activity log you can review later.
Two habits are worth keeping no matter what software you use. Wire instructions should only ever go out through your secure channel and be confirmed by phone to a known number, and Aura should be told to never draft them into ordinary email. And if any message claims changed wiring details, treat it the way you always have: stop and call a number you already know.
Aura reads your mail to do its job. That content is not used to train general-purpose models and is not sold. You can export or delete what Aura remembers. The details, including the limits, are on the security page.
It works next to your title production software
Aura is not a title production system and does not replace one. Your files, ledgers, and documents stay in whatever you run today, whether that is Qualia, SoftPro, RamQuest, ResWare, or a well-worn set of folders. Aura has no native connection to those systems. It works through the layer every one of them shares: the email and calendar around the file.
That is a smaller promise than an all-in-one platform makes, and it is the reason a two-person office can be running in an afternoon. There is nothing to migrate. Aura will read mail that contains non-public personal information, so put it through the same vendor review you give anything that touches NPI under ALTA Best Practices. The security page lists what we have in place and what we do not have yet.
If you run Qualia, its Clear assistant connects to Outlook and Gmail, labels mail by file and drafts replies. If your office is on Outlook, Clear covers that and Aura does not. Aura is for Google Workspace offices on any production system, for the personal Gmail clients still write to, and for a brief that arrives by text.
One person with several inboxes, or the whole office
Most closers start alone. One person connects the firm address and the personal address that clients keep using, and Aura treats them as one desk. Plans are sized by how many accounts you connect: one on Basic, two on Plus, three on Pro, and five on Max. The morning brief is on every plan. Unprompted follow-up and meeting-prep nudges start on Plus at $99 a month, and phone calls on Pro at $199. On Basic, Aura covers follow-ups in the brief and whenever you ask.
When the whole office wants it, Aura can run as a branded assistant with its own name and phone number that every employee texts. Universal Title runs one today. It opens new files from the referral system, requests documents, tracks payoffs, and sends borrowers their appointment details once a file is cleared to close. That version is set up with the Aura team.
What Aura does not do
Aura does not examine title, prepare a commitment, balance a settlement statement, disburse funds, or record documents. It does not connect to Microsoft 365 mailboxes today, only Google Workspace. It will not sign anything. If you are looking for software that produces the closing package, that is your production system's job. Aura's job is that nothing about the package is forgotten.
What a closing desk hands to Aura, and what stays with people
| Work | Who does it | How |
|---|---|---|
| Finding a payoff or commitment across inboxes | Aura | Ask by text, it checks every connected account |
| Chasing lenders, agents, and HOAs | Aura drafts, you approve | Follow-ups tracked until they clear |
| Scheduling and confirming signings | Aura drafts, you approve | Calendar holds and confirmations from your address |
| Knowing what each file is waiting on | Aura | Morning brief by text before the day starts |
| Title examination and curative work | Your team | Unchanged |
| Settlement statements, funding, recording | Your team and your production software | Unchanged |
| Sending wire instructions | Your team, through your secure channel | Never by ordinary email |
Questions, answered
Is there an AI assistant built for title companies?+
Yes. Aura is an AI executive assistant built for a desk like a title or closing office. It reads the email accounts your files live in, tracks what each file is waiting on, drafts the chasing and scheduling email, and texts you a morning brief. It works alongside your title production software and does not replace it.
Does Aura integrate with Qualia, SoftPro, RamQuest, or ResWare?+
No. Aura has no native integration with title production systems. It works through email and calendar, which every one of those systems already uses to talk to lenders, agents, and customers.
Can Aura send email without me approving it?+
Not by default. Outbound email, calendar changes, and file sharing wait for your approval, and every approval is written to an activity log.
How does Aura handle wire fraud risk?+
By default Aura does not send email on its own, so a compromised thread cannot trigger an automatic reply. Keep wire instructions in your secure channel, confirm by phone to a known number, and tell Aura never to draft them into ordinary email.
Can an escrow officer use Aura with more than one email address?+
Yes. Plans connect one, two, three, or five Google Workspace accounts, and Aura treats them as one desk. Ask whether the payoff came back and it checks all of them.
Does Aura work with Outlook or Microsoft 365?+
Not today. Aura connects Google Workspace accounts. If your office runs on Microsoft 365, talk to the team about an enterprise rollout and current options.
What does it cost for a small title office?+
One person with one inbox starts at $20 a month. Two inboxes is $99, three is $199, and five is $299. The unprompted follow-up nudges described on this page start on Plus at $99, and phone calls on Pro at $199. A branded assistant for the whole office is set up with the Aura team.
How long does setup take?+
Most people are running the same day. You sign up, connect your Google Workspace account, and text Aura what you want watched. There is nothing to migrate.
